10 SuiteCRM Workflows to Automate with Your Vibe-Code Agent

October 4, 2026 ·

SuiteCRM has a real workflow engine: conditions, actions, time-based runs, plus a scheduler to fire them. The catch is that building one means clicking through condition trees, and nothing fires if cron is unhappy. Describe the outcome in chat and the agent builds the workflow, enables the scheduler, and proves it with a test record. These ten automations are the ones that pay for the habit.

1. Acknowledge every new lead, then book the follow-up

Speed matters at the top of the funnel, and manual acknowledgement doesn’t scale past one rep. A single workflow fires on lead creation: send the intro email from a template, then create a call task due in two business days for whoever the lead is assigned to. The agent builds it, drops in a test lead, and shows you the email and the task it created. Try: “When a new lead arrives, email them our intro document and create a call task for the assigned rep due in two business days.”

2. Nag the team about stale deals

Deals die quietly in Negotiation while everyone assumes someone else is on them. A time-based workflow checks opportunities in Proposal or Negotiation that haven’t been touched in seven days, then emails the owner and their manager and files a follow-up task so the nudge lands somewhere it must be cleared. Try: “Every morning, find open deals in Proposal or Negotiation that haven’t been updated in seven days, email the owner and me, and create a follow-up task on each one.”

3. Round-robin incoming leads across the team

The stock workflow can assign a lead to one fixed user, which is not a rotation. For round-robin, the agent writes a small logic hook in the custom directory that hands each new lead to the next rep in the Inside Sales security group and fires an email so the rep knows it landed. This one is custom code, and the agent will say so — kept upgrade-safe in custom/, which is exactly where it belongs. Try: “Split incoming web leads evenly across the four reps in Inside Sales and email each rep the moment a lead is assigned to them.”

4. Turn an accepted quote into an invoice and a follow-up

The handoff from quote to invoice is where billing slips happen. A workflow watches the Quotes module: when status flips to Accepted, it creates an invoice pre-filled from the quote’s line items, emails the customer a confirmation from a template, and schedules the account owner a follow-up call three days out. The agent maps every field between the two modules and runs a test quote through the whole chain. Try: “When a quote is marked Accepted, create an invoice from its line items, email the customer a confirmation, and book the owner a follow-up call three days later.”

5. Escalate support cases that breach their SLA

Support promises mean nothing without teeth. A time-based workflow checks High-priority cases with no response in four business hours, sets an escalation flag, emails the whole support group, and creates a task for the queue manager with the case linked. Pair it with the monitored support@ inbox so inbound mail threads onto the right case automatically. Try: “If a High-priority case gets no reply within four business hours, flag it as escalated, email the support group, and create a task for the queue manager.”

6. Capture website forms straight into a campaign

SuiteCRM’s web-to-lead form generator produces an embeddable form, but the wiring around it — lead source tagging, campaign membership, the thank-you email, assignment rules — is a dozen small settings. The agent generates the form, sets the routing so submissions land in the right campaign and target list, and tests the full path with a fake submission before you announce it. Try: “Build a web-to-lead form for our pricing page that tags leads as Pricing Page, adds them to the Q4 nurture campaign, sends the thank-you email, and assigns each lead to the sales queue.”

7. Chase contract renewals thirty days out

Renewals you remember are revenue; renewals you forget are churn. A nightly workflow scans Contracts for end dates in the next 30 days, creates a renewal task for the account owner, and emails the customer a renewal quote built from the PDF template so the paperwork is one click away. The agent handles the duplicate-guard too, so a contract doesn’t spawn five tasks. Try: “Every night, find contracts ending in the next 30 days, create one renewal task per contract for the account owner, and email the customer a renewal quote.”

8. Chase overdue invoices in stages

Chasing payment is the least loved job in any small business, which makes it perfect to delegate. An automation sends a friendly reminder 14 days after issue, a firmer one at 30, and each stage files a call task for the invoice owner so a human takes over before it turns sour. The agent sets the timing, templates, and a test invoice to watch it run. Try: “Send a polite payment reminder 14 days after an invoice is issued, a firmer one at 30 days, and create a phone-call task for the invoice owner at each step.”

9. Keep campaign lists clean of bounces

Mail campaigns rot fast when bounced addresses stay in the target lists: sender reputation drops and future sends land in spam. The agent wires the bounce mailbox, turns on the schedulers that process bounced campaign mail nightly, and adds a weekly job that strips hard-bounced addresses from every target list and logs what was removed so you can audit it. Try: “Process email bounces every night, remove hard-bounced addresses from all target lists once a week, and send me a count of what was removed.”

10. Push closed-won deals to your accounting system

If sales data never reaches the books, someone retypes it — badly. The agent adds a scheduler job running a small script that reads opportunities closed-won in the last hour and POSTs account, amount, and close date to your accounting system’s API, with a log for failures and a retry on the next run. Ask it to show you the mapping table first; that table is the part you’ll want to sanity-check. Try: “Every hour, push deals marked Closed Won to our accounting API with account name, amount, and close date, log failures, and retry them next run.”

Worth a watch next:

Every automation here is a workflow, a scheduler, or a small script the agent can point at in your files. Change your mind later and the rule updates the same way it was made: by describing the change in chat. SuiteCRM on OpenSysLab ships with the workflow engine, the scheduler, and the agent already on the same server.
